Refund Policy for Vacation Agents
Last Updated: [26 Novemeber2025]
At Vacation Agents, we strive to provide smooth and transparent booking experiences. As a booking agent, our role is to facilitate travel reservations between you and third-party travel providers such as airlines, hotels, car rental agencies, and tour operators (“Travel Providers”).
Because of this, all refunds are subject to the policies of the Travel Providers. This Refund Policy explains how refunds are handled when bookings are made through our platform.
1. Our Role as a Booking Agent
Vacation Agents does not set or control refund rules for flights, hotels, tours, or other travel services.
Refund eligibility, fees, and timelines are determined by the Travel Provider.
By booking through us, you agree to follow the provider’s refund and cancellation rules.
2. Non-Refundable Bookings
Many travel services—especially discounted or promotional rates—are non-refundable.
This may include:
Special fare airline tickets
Non-refundable hotel reservations
Package deals
Last-minute bookings
Activities or tours with strict cancellation terms
If a booking is labeled non-refundable at checkout, no refund will be issued.
3. Refundable Bookings
If your booking qualifies for a refund based on the Travel Provider’s policies, Vacation Agents will assist in submitting the refund request on your behalf.
Refundable bookings may include provider-specific conditions such as:
Cancellation within a certain time frame
Payment of cancellation fees
Compliance with minimum advance notice requirements
We do not guarantee that a refund will be approved.
4. Service Fees
Vacation Agents may charge a service fee for processing cancellations or changes.
These fees are separate from any penalties charged by Travel Providers and are non-refundable, even if the Travel Provider issues a refund.
5. Refund Request Process
To request a refund, contact us at [Insert Email] with:
Your booking reference number
The name on the reservation
Details of the cancellation or issue
We will:
Review the Travel Provider’s refund policy
Submit your request to the provider (if eligible)
Notify you of the provider’s decision
6. Refund Processing Time
Once a refund is approved by the Travel Provider, processing time may vary:
Airlines: typically 7–30 business days
Hotels and car rentals: 5–15 business days
Tours/activities: varies by operator
Vacation Agents is not responsible for delays caused by banks, credit card issuers, or Travel Providers.
7. No-Show Bookings
If you fail to appear for a scheduled flight, hotel check-in, tour, or other booking, this may be classified as a no-show.
Most no-show bookings are non-refundable.
8. Travel Provider Errors or Cancellations
If a Travel Provider cancels or modifies your booking:
You may be eligible for a refund, credit, or rebooking option, depending on the provider’s policies.
Vacation Agents will help coordinate these options but cannot offer compensation beyond what the provider offers.
9. Extraordinary Circumstances
Refund rules during events such as natural disasters, political unrest, health emergencies, or airline strikes are determined by Travel Providers.
Some providers may issue travel credits instead of refunds.
10. Chargebacks
If you dispute a charge through your bank or credit card issuer without first contacting us:
Your booking may be canceled immediately
Additional fees may apply
The outcome will follow the policies of the Travel Provider and your financial institution
We recommend contacting Vacation Agents first so we can assist you.
